How do small businesses currently use AI?

Front-office functions are front-of-line. Small businesses are currently using AI primarily for front-office tasks such as marketing and customer service rather than for deep operational work. In fact, marketing leads adoption at 36.2%, followed closely by customer service at 36.1%.

While businesses are comfortable using AI to draft emails or engage customers, there is hesitation to let it handle back-office numbers. Adoption drops significantly for Finance (16.4%), Inventory (10.9%), and HR (6.4%).

Missed Opportunity: Businesses are hesitant to automate complex operational tasks because of AI challenges, even though these are the areas where automation saves the most time.

What are the biggest challenges in small business AI adoption?

The data reveals a fundamental shift: the barrier is no longer cost—it’s complexity and comprehension. Lack of expertise emerges as the overwhelming #1 challenge, cited by 32.1% of businesses, followed by unclear ROI (23.1%), integration difficulties (18.4%), and data privacy concerns (12.3%).

These barriers don’t exist in isolation: they reinforce each other in a self-perpetuating cycle. Lack of expertise makes it harder to evaluate ROI, which makes it harder to justify investment to develop AI skills and expertise. AI integration requires technical knowledge. Data privacy concerns demand a deeper understanding of AI systems. This creates a vicious cycle in which businesses most in need of AI’s efficiency gains are least equipped to achieve them.

Are small businesses satisfied with the available AI tools?

Satisfaction levels depend heavily on the industry, with tech-native sectors reporting high satisfaction and traditional sectors feeling largely neutral. Web, Tech and Media businesses are the happiest, with 52% expressing satisfaction with their tools.

In contrast, industries like Transportation, Logistics, and Retail show much lower satisfaction rates (31% and 36%, respectively). The high number of neutral responses in these sectors suggests that many businesses are currently in a trial phase. They’re testing the waters but haven’t yet seen the transformative results they were promised.

How much are small businesses going to spend on AI in 2026?

The vast majority of small businesses are doubling down, with 48% planning to increase their AI budgets in 2026. Conversely, only 2% of businesses plan to decrease their spending, signaling that AI is here to stay.

However, there is a divide. While 11.8% of businesses are planning aggressive expansions, 27% still operate with no dedicated AI budget at all.

The Risk of Free: Companies relying only on free tools for AI integration risk falling behind competitors who are moving toward strategic implementation.
