How to setup our free online appointment scheduling software

Log in to the Bookipi web app

Log in here or Sign up for a free account now. Click on “Scheduler” on the navigation panel and start by clicking “Create Meeting Link”.

Connect Google Calendar

Sync your Google Calendar to automatically add new meetings as they’re scheduled. Each appointment will automatically include its own Google Meet call link.

Set your availabilities

Set your preferred time zone and available times for each day of the week.

Add your meeting location

Select your default meeting location from the drop-down list:
  • “Virtual link” to add an online meeting link.
  • “In person meeting” to provide a physical location.
  • “Ask invitees” to let your clients or attendees decide their preferred meeting method or location.
    • *If you’ve synced your Google Calendar, unique video call links will be automatically added to your meetings.

    Set up meeting details

    Set the meeting duration and add a description. Include 2-3 pre-call questions that clients can ask ahead of time, to get you prepared before the meeting. You’re done!

    How does Appointment Scheduler work with my existing calendar?

    When you sync Appointment Scheduler with your Google Calendar, it automatically checks your availability. Your booking link will only show time slots that are free, based on the availability you set — so you never get double-booked. Once someone books a meeting, the invite is added to both your calendars and sent to your emails (including a unique Google Meets link) — no extra work required.

    How does availability sharing work?

    Simply send your shareable booking link with clients or colleagues. They can pick a date and time that fits your availability, and the meeting will be booked instantly.

    How do I add video call/virtual links to my meeting invites?

    When setting up your Appointment Scheduler, you’ll have the option to set default meeting locations:

    1. “Virtual link” to add an online meeting link.
    2. “In person meeting” to provide a physical location.
    3. “Ask invitees” to let your clients or attendees decide their preferred meeting method or location.

    Select ‘Virtual Link (Google Meet, Zoom, etc)’ as your ‘Meeting location’, and add your preferred video call link to the ‘Add meeting URL’ field. That’s it!

    *If you’ve synced your Google Calendar, a video call link will be automatically generated for your meetings.
