How to mark the invoice as paid and send a receipt using the mobile app<\/h2>\n

You can mark an invoice as paid using two easy methods: by opening the invoice directly or through the invoice document page. Once you\u2019ve received payment via bank transfer, cheque, or EFT, follow the steps below to mark it as paid and send a receipt, all within the mobile app.<\/p>\n

Option 1:<\/h2>\n

Step 1: <\/b>Select the Invoice.<\/h3>\n

In the \u2018Invoice\u2019<\/i> <\/b>category, tap the invoice you want to record a payment for.<\/p>\n

Step 2: <\/b>Select the \u2018Payment\u2019<\/i><\/b> button.<\/h3>\n

Tap \u2018Payment\u2019<\/i><\/b> at the bottom of the screen.<\/p>\n

Select \u2018Record Payment\u2019<\/i><\/b> from the options.<\/p>\n

Before marking an invoice as paid, a warning will appear if there\u2019s a pending card payment. It will let you know that manually marking it as paid will stop your client from completing the card payment. If this doesn\u2019t apply, you can go ahead and record the payment manually.<\/i><\/p>\n<\/div>\n

Step 5: <\/b>Tap \u2018Submit\u2019.<\/i><\/b><\/h3>\n

Tap \u2018Submit\u2019 <\/i><\/b>to send the receipt to your client. <\/p>\n

Common FAQs on how to mark an invoice as paid and send a receipt using the mobile app<\/h2>\n

Q: What payment methods can I record when marking an invoice as paid?<\/h3>\n

A. You can record payments made through direct bank transfer, cheque, electronic funds transfer (EFT), or cash.<\/p>\n

\n

Q: Will I be notified if there\u2019s a pending card payment before marking the invoice as paid?<\/h3>\n

A. Yes. If a card payment is still pending, a warning will appear letting you know that manually marking the invoice as paid will disable the card payment option for your client.<\/p>\n

Q: Can I include extra payment details when recording a payment?<\/h3>\n

A. Yes. You can add any relevant notes in the \u201cNotes\u201d section before completing the process.<\/p>\n

Q: Can I resend a receipt later if needed?<\/h3>\n

A. If you\u2019ve already marked the invoice as paid, you will need to remove the recorded payment first. After that, mark the invoice as paid again to send a receipt.<\/p>\n

Q: What happens after I send the receipt?<\/h3>\n

A. The customer will receive an email confirming their payment, and the invoice will be updated to reflect the paid status. <\/p>\n

Q: Why am I unable to record a payment on an Estimate, Purchase order, Credit note, or Delivery note?<\/h3>\n

A: Bookipi only allows payments to be applied to Invoices. Invoices are the official documents used to monitor payments and outstanding amounts. Other document types, such as Estimates, Purchase orders, Credit notes, and Delivery notes, serve administrative and process-related purposes and do not support payment entries.<\/p>\n

If you need to log a payment, you must first convert the document into an Invoice or generate a new Invoice. Once the document is an Invoice, payment recording and tracking will be available.<\/p>\n
