How to mark the invoice as paid and send a receipt using the web app<\/h2>\n

Follow these steps to mark an invoice as paid and send a receipt when payment is received through methods such as direct bank transfer, cheque, or electronic funds transfer using the web app. <\/p>\n

Step 1: <\/b>Access \u2018Invoice\u2019<\/i><\/b><\/h3>\n

Select \u2018Invoice\u2019<\/b><\/i> <\/b>from your document lists.<\/p>\n

Step 2: <\/b>Select an Invoice<\/h3>\n

In the Invoice category, select the invoice for which you want to record a payment.<\/p>\n

Step 3: <\/b>Mark as Paid<\/h3>\n

On the right side of the screen, click \u2018Mark paid\u2019<\/i><\/b>.<\/p>\n

After marking the invoice as paid, click \u2018View transactions\u2019<\/i><\/b> on the right side of the screen.<\/p>\n

Click the vertical ellipsis (\u22ee)<\/b> next to the transaction you want to send a receipt for.<\/p>\n

Select \u2018Send Receipt\u2019<\/i><\/b> to email the receipt to your client.<\/p>\n

Q: Can I backdate the payment date?<\/h3>\n

A: Yes. When marking the invoice as paid, you can manually select the payment date to reflect the actual payment date.<\/p>\n

Q: Can I undo marking an invoice as paid?<\/h3>\n

A: Yes. Open the invoice, select \u2018View transactions\u2019<\/i><\/b>, click on the vertical ellipsis button, and then choose \u2018Delete\u2019 <\/i><\/b>to change the status back to unpaid.<\/p>\n

Q: Will the customer automatically receive a receipt?<\/h3>\n

A: Receipts are not sent automatically by default. You need to manually send the receipt after marking the invoice as paid. <\/p>\n

Q: Why can\u2019t I record a payment on my Estimate, Credit note, Purchase order, or Delivery note?<\/h3>\n

A: Payments can only be recorded on Invoices. The default Invoice category is specifically designed to track payments and outstanding balances. Other document types, such as Estimates, Purchase orders, Credit notes, and Delivery notes, are used for record-keeping and workflow purposes only, so payment recording isn\u2019t available on them.<\/p>\n

If you need to record a payment, you\u2019ll first need to convert the document into an Invoice or create a new Invoice. Once it\u2019s an Invoice, you\u2019ll be able to add and track payments as normal.<\/p>\n
